The Opportunity

An opportunity has arisen for a UK Payroll Administrator to prepare a monthly payroll of circa 1200 employees in a fast paced and changing environment. The successful candidate will be required to undertake the end to end process and prepare the payroll for review/sign off by Approvers, Payroll Manager. The role is placed primarily at our Borehamwood office with flexibility to work in our London office on non critical processing dates.

Key Responsibilities

  • Effectively manage emails to the Payroll Inbox, responding to queries to KPI’s.

  • Maintain payroll calendar, ensuring deadlines are met on time, every time.

  • Collate data from approved data submitters, ensuring it is duly authorised.

  • Check payroll integrations have been processed successfully by our Payroll Provider for starters, leavers, permanent/variable changes, and absence.

  • Prepare ad-hoc variable data for submission via the agreed templates, ensuring accuracy.

  • Prepare Pension and Benefit files for submission via the agreed templates (Sharesave, Season Ticket Loans, Pension, Childcare Voucher, GAYE, Gym, PMI and Cycle to Work).

  • Manage Jury Payments, Long Term Sickness, Maternity/Adoption/Paternity.

  • Process leavers holiday balances.

  • Manage HMRC notifications.

  • Manage process for shares, in an accurate and timely manner.

  • Prepare and issue maternity schedules.

  • Review output reports from payroll provider, ensuring all instructions have been correctly interpreted and processed 100% accurately.

  • Manage detailed payroll check lists and prepare for Manager review at submission, pre-approval, month end and quarter end stages.

  • Prepare detailed approval/variance reports for review by Payroll Approvers and Payroll Manager.

  • Prepare documentation for Sign off by the Reward Director in accordance with the payroll calendar.

  • Prepare monthly KPI’s and manage the continuous improvement process alongside our People Partner’s.

  • Record overpayments and review with Payroll Manager and People Partner’s before passing to third party provider for recovery.

  • Manage overpayment recovery process with third party provider.

  • Manage underpayments effectively and make off cycle payments where required, ensuring these are accounted for correctly.

  • Check accuracy of GL outputs and manage query resolution.

  • Ensure third party payments are made to providers accurately and on time.

  • Ensure that Just Eat is compliant with employment law and tax legislation.

  • Manage the year end process with the payroll provider and reconcile HMRC payments.

  • Oversee the P11D process and prepare for sign off with Payroll Manager and Reward Director.

  • Ensure all payroll queries are dealt with in accordance to KPI’s, escalating concerns to Payroll Manager.

  • Undertake reconciliations and analysis of payroll and reward data.

  • Maintain the Payroll Procedures Manual to ensure it remains up to date.

  • Safeguard payroll procedures, maintain compliance and ensure that internal controls are adhered to at all times.

  • Process and reconcile annual pay review and bonus data.

  • Assist with payroll audits as required.

  • Actively participate in team meetings and training exercises.

  • Remain updated in payroll legislation and self develop through our Talent Development library.

Required skills and experience
  • Experience of working in a fast paced and changing environment essential.

  • Able to balance and reconcile payrolls. Can interpret accountancy terminology.

  • Maintains an up to date knowledge of all payroll legislation (eg: Income tax, Court Orders, NI, SMP, SSP, SPP, SAP, Student Loans, records retention periods, statutory changes, etc.)

  • Able to calculate National Insurance Contributions and PAYE taxes manually, including Directors NI. Can explain the difference in taxable/gross pay to staff.

  • Has experienced Year End process including P11D’s.

  • A team player with ability to take initiative and lead by example.

  • Excellent interpersonal skills – treats people with respect; is approachable, open and direct; develops effective working relationships with staff at all levels.

  • High level of attention to detail with good analytical and numeracy skills.

  • Organised with strong time management skills.

  • High degree of PC literacy with advanced Excel (Pivots and VLookups).
